OakxAI Terms of Use

Effective October 28, 2026.

OakxAI is a customer relationship management (CRM) and communications platform operated by Oak Capital Mortgage, LLC (NMLS #1960829), 1800 Central Ave, Suite 301, Charlotte, NC 28205 (“we”, “us”). OakxAI is powered by HighLevel. These Terms of Use apply to everyone who signs in to OakxAI, including at app.oakxai.com.

Who can use OakxAI

OakxAI is available only to people we have invited and given an account. Your access is tied to your role and can be changed or ended at any time, including when your work with us ends.

Your account

  • Keep your login to yourself. Do not share your password or let anyone else use your account.
  • Use two-step verification when it is offered.
  • Tell us right away if you think your account has been accessed without your permission.

Acceptable use

  • Use OakxAI only for legitimate business purposes we have approved.
  • Access only the contacts and records assigned to you, and only what you need to do your job.
  • Follow all applicable laws when you call, text or email anyone from OakxAI, including consent, opt-out and do-not-call rules. Honor every opt-out request.
  • Do not export, copy or move customer information outside OakxAI except as your role requires and we allow.
  • Do not upload unlawful, misleading or harmful content, and do not try to get around security controls.

Customer information

Information about Oak Capital Mortgage customers and prospects stored in OakxAI belongs to Oak Capital Mortgage, LLC and is handled under the Oak Capital Mortgage Privacy Policy. How the platform itself handles information is described in the OakxAI Privacy Policy.

Monitoring

We may review account activity, messages and call logs in OakxAI to keep the platform secure, meet our legal and regulatory obligations, and support our customers.

Changes and ending access

We may update these terms and will post the new version here with its effective date. We may suspend or end any account that breaks these terms.
