OakxAI is a CRM and communications platform operated by Oak Capital Mortgage, LLC (NMLS #1960829). This policy explains what information the OakxAI platform collects about the people who use it and the communications that run through it.

Information the platform collects
- Account information for users: name, work email, phone number and role.
- Activity information: sign-ins, device and browser details, and actions taken in the platform.
- Communications: calls, texts, emails and chat messages sent or received through OakxAI, with their logs. Call recording is currently turned off.
- Contact records that users add or that arrive through Oak Capital Mortgage websites, forms and phone lines.
How we use it
To run and secure the platform, route calls and messages, keep records required by law, and respond to the people who contact us. We do not sell personal information.
Service providers
OakxAI is built on HighLevel, which hosts the platform and its data, along with the telephone, messaging and email carriers it uses to deliver communications. These providers process information on our behalf to provide the service.
Security and retention
Access is limited to invited users, and each user sees only the records assigned to them. We keep information as long as needed for business purposes and as long as the law requires, then delete it.
